UPS Setup

Enroll in UPS Paperless Invoice

UPS must enable your account for paperless invoicing.

Visit the UPS site to enroll.

FedEx Setup

Default Support for Paperless Invoice

By default, your FedEx account should support paperless invoice functionality.

Visit FedEx® Electronic Trade Documents to enable electronic uploads.

 Set an Intrastat Code

Terms of Delivery

Accounts payable > Setup > Terms of delivery

To use paperless invoicing, it is important to have an Intrastat code set on your delivery terms configuration.

Set this code in the Intrastat code field on the Terms of delivery form. See Delivery Terms Setup for more information on setting up delivery terms.

Then, when you create a sales order, you can select your configured terms in the Delivery terms field on the Sales order details form. 

This code is mapped to UPS or FedEx.

 Include Invoice

Shipping Carriers

Transportation management > Setup > Carriers > Shipping carriers

Select the Include Invoice checkbox on the carrier service line to request a paperless invoice. 

FedEx

FedEx submits the document to customs, and the shipping label is marked “ETD” in the bottom-right corner.

Note

If the shipping label is marked "EWO" (Electronic with Original), you need to include the original copy of the invoice with the shipment.

UPS

UPS submits the document to customs, and the shipping label is marked “EDI” in the bottom-right corner.

Note

If the shipping label is marked "INV," you need to include the original copy of the invoice with the shipment.

Optional Invoice Data

If the Include Invoice checkbox is selected, there are several parameters that you can override in the ATOTmsProcessXML_Base_Extension: 

  1. Invoice Number (shipment ID from 365)
  2. Invoice Date (filled with current date)
  3. Purchase Order Number
  4. Intrastat Code
  5. Comments 
  6. Declaration 
  7. Reason for Export
    1. Defaults to Sale
    2. Other options: Gift, Sample, Return, Repair, IntercompanyData, Any other reason
  8. Exporter Reference Number
  9. Importer EORI Number
