Statuses - Purchase Order
The Statuses page allows you to create, edit, or delete statuses that are used to define workflow step progression.
Important
- Statuses are a key component in creating a workflow and must be configured early in the setup process.
- We highly recommend configuring one or more "closed" statuses so that the last step of all your workflows can move the business transaction into that "closed" status.
- This is recommended for performance reasons within the application itself as well as for the reporting data that is now available.

New or Edit Status
Click New to create a status. Click Edit to edit a status.
This opens a pop-up window where you can enter the following details:
FIELD | DESCRIPTION |
Name | Enter a name for the status. |
Code | Select a code for the status. This code appears on a colored tile after the name and represents the status. |
Open | Turn on this toggle to indicate the status is open (e.g., a Completed or Canceled status is not "open" because they are final statuses). This is helpful for filtering; closed statuses can be filtered out on some forms. |
Description | Enter a detailed description of the status. |
Display | |
Select a color | Click this button to open a color graph and select the desired color for this status. |
Process | |
Status Queue | Select a status queue from the drop-down list. The available options are configured on the Status Queues page. You are selecting which tab this status appears in on the corresponding queue. Multiple statuses can fall under the same status queue. |
Add new Status Queue | Click this button to open a pop-up window and add a new status queue. Click Save to add it to the drop-down list for selection. It is also added to the Status Queues page. Click out of the window to return to the New/Edit Status pop-up window. |
Status Progress Bar | Select a status progress bar from the drop-down list. The available options are configured on the Status Progress Bars page. You are selecting which progress bar step the transaction appears in on the corresponding queue and summary pages. |
Add new Status Progress Bar | Click this button to open a pop-up window and add a new status progress bar. Click Save to add the it to the drop-down list for selection. It is also added to the Status Progress Bars page. Click out of the window to return to the New/Edit Status pop-up window. |
Delete Status
Select the desired record and click Delete to delete a status.
Click OK on the confirmation pop-up window to confirm the deletion.
Import/Export Status
Click Import to select your file(s) to import.
Select a record(s) and click Export to export.
Click Export All to export all displayed statuses to an Excel spreadsheet.
System Created
The System Created column displays a checkmark if the record was created by the system and is non-editable.
