Workflows - Freight Invoice

A workflow depicts a series of sequenced statuses a business transaction can go through during its lifecycle.

It can also describe the party that will initiate a particular step, the systematic processing/validation that needs to happen at that step, the statuses that can be changed to a target status, and more.

These sequences outline the interactions between the different parties involved to make sure everyone knows the business transaction status.

The Workflows configuration page allows you to create and manage customized workflows for:

  • freight invoices
  • purchase orders
  • shipments
  • transportation tenders

 Workflow Management

The left side of the page allows you to create, edit, or delete a workflow.

Multiple workflows can be configured per business transaction type, but only one can be set as the default.

Use the search box to find a workflow.

New or Edit Workflow

Click New to create a workflow. Click Edit to edit an existing workflow.

Delete a Workflow

Select the desired record and click Delete to delete a workflow.

Click OK on the confirmation pop-up window to confirm the deletion.

Copy a Workflow

Select a record and click Copy to copy a workflow.

A duplicate is created with a timestamp appended to the end of the name. You can adjust the name and description on the copy.

Copying is useful if multiple (but similar) workflows are needed.

 Workflow Details

The right side of the page displays details for the selected workflow.

The workflow details are where everything comes together: statuses, action types, etc.

Multiple workflows (and therefore workflow details) can be specified for various levels.

New or Edit Workflow Step

Click New to see two options:

New or Edit Workflow Step

Click New Workflow Step to create a step for your workflow.

Select a record and click Edit to edit an existing workflow step.

Click New External Link to configure a step to add a link to your summary page that navigates to an external website.

Delete Workflow Step

Select a record and click Delete to confirm you want to delete a workflow step.

Move Up/Down

Use the Move Up and Move Down buttons to rearrange the workflow steps.

Import or Export Workflow

Select Import to import a workflow from an Excel spreadsheet.

Select a record(s) and click Export to export a workflow to an Excel spreadsheet.

Select Export All to export all displayed workflows to an Excel spreadsheet.

System Created

The System Created column displays a checkmark if the record was created by the system and is non-editable.
